This Vermeer Corporation Data Privacy Policy for Job Applicants (“Applicant Privacy Policy”) explains how Vermeer Corporation and its controlled affiliates (“Vermeer,” “we,” “our,” or “us”) collect, use, disclose, and protect Personal Information in connection with Vermeer’s recruiting and hiring activities, including receiving and reviewing application materials, and making hiring decisions regarding applicants or prospects for employment, internships, and similar roles, as well making contact with individuals through career fairs or similar employment-focused networking and discovery events (each, an “Applicant”).

This Applicant Privacy Policy is supplemented by and does not replace the Vermeer Corporation Data Privacy Policy. In addition, this Applicant Privacy Policy is subordinate to and superseded by any specific terms and conditions set forth in any separate privacy notice or agreement between Vermeer and an Applicant. What Types of Applicant Personal Information Does Vermeer Collect, and When Does It Collect This Information?

Vermeer collects various types of Personal Information from and about Applicants. We may collect Personal Information directly from Applicants and, where permitted, from third parties such as recruiting platforms, screening providers, or professional references. This information may be collected independently by Vermeer at any time in connection with recruiting efforts, or it may be collected as part of application evaluation efforts subsequent to an Applicant’s submission. This information may also be provided by Applicants or third parties throughout the application, interview, and hiring process.

"Personal Information" is any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with an identified or identifiable natural person or household. In other words, it is any information that, on its own or together with other information, can reasonably be used to identify you or your household. Personal Information we may collect about Applicants includes, in addition to any other information disclosed at the time of collection or that you independently choose to provide us:

Among the categories of Personal Information identified above, some pieces of data may constitute Sensitive Personal Information in some jurisdictions (for example, government ID numbers, background check information, and information related to accommodations or other health-related information). We do not intentionally request sensitive Personal Information that is unrelated to recruiting or legal compliance, and we limit its use to lawful purposes.

Vermeer may also collect and use certain Non-Personal Information. Non-Personal Information is any information that does not relate to an identified or identifiable natural person, such as:

  • Cookie and other tools, when used in non-identifiable way;
  • Anonymized information;
  • Aggregated information.

Vermeer collects Non-Personal Information in the same ways it collects Personal Information described elsewhere in this Privacy Policy.

Because Non-Personal Information does not personally identify you, Vermeer may use and disclose Non-Personal Information for any purpose consistent with applicable law. For What Purposes Does Vermeer Use Applicant Personal Information?

Subject to the limitations and other rights set forth in this Applicant Privacy Policy, Vermeer may use Applicants’ Personal Information for a variety of purposes, including:

  • Recruiting and Selection. Revieing application, assessing qualifications, interviewing, and making hiring decisions.
  • Pre-Hire and Hiring-Related Communications. Contacting Applicants, or their references or employer(s) (where applicable) about roles, interviews, qualifications, and application status.
  • Screening and Verification. Background checks, reference checks, and eligibility verification (where permitted). 
  • Pre-Hire Onboarding. Preparing offer letters and arranging onboarding activities.
  • Security, Fraud Prevention, and Ensuring Integrity of Recruiting Systems. Detecting automated or fraudulent applications and protecting recruiting systems from abuse. 
  • General Business Purposes. Recordkeeping, responding to lawful requests, defending or pursuing claims, and other general business purposes consistent with applicable law.
  • As Disclosed at the Time of Collection. In any other manner that we may describe when you provide the information to us.

Automated and Semi Automated Processing

Vermeer may use automated and semi automated tools in support of its recruiting process. These tools assist with managing application volume, protecting recruiting systems, and improving the integrity and efficiency of application review. As part of these efforts, Vermeer may use signal scores derived from application related metadata to help identify applications that may have been generated by automated means (such as bots or scripted submission tools).

Signal scores may be based on factors including, for example:

  • network traffic characteristics, 
  • an autonomous system number (ASN),
  • the number of job requisitions/applications associated with a single applicant,
  • time spent completing an application, 
  • geolocation country code, 
  • IP address, and
  • browser or connection fingerprinting indicators (such as JA4 fingerprint data).

Signal scores are only ever used as one factor within a broader, human involved evaluation of applications. These scores are intended to help reduce time spent evaluating bot generated or abusive submissions and to protect the fairness and reliability of Vermeer’s recruiting process. Vermeer does not make hiring or other decisions that produce legal or similarly significant effects without human involvement or based solely on automated processing or signal scores.

When Does Vermeer Disclose Applicants’ Personal Information, and Who May Receive It?

Vermeer is committed to being transparent regarding the ways we use and disclose Applicants’ Personal Information. We may disclose your Personal Information as follows:

  • We may disclose Personal Information to our affiliated companies involved in recruiting, hiring, other human resources operations activities, and workforce planning.
  • We may disclose Personal Information that we have obtained from or about an Applicant to that Applicant’s professional references or current or former employers (subject to legally required notices or authorizations) as part of our application evaluation and hiring process.
  • We may disclose Personal Information to our service providers to fulfill the Purposes on our behalf. Our service providers are bound by law or contract to treat your information and data with the same level of protection that we do and to use it only in accordance with our instructions.
  • We may disclose Personal Information to enforce our rights (including any rights granted to Vermeer under any contract we or any of our controlled affiliates have entered with you), protect our property, or protect the rights, property, or safety of others, or as needed to support external auditing, compliance, and corporate governance functions.
